01Who we are

Novaris.club ("Novaris", "we") is a professional learning club based in the NCR and online. We are the data controller for the personal information described here. You can reach us at hello@novaris.club.

02What we collect

When you request an invite or contact us, we collect what you give us: your name, email address, and what you tell us about your work. If you become a member we also hold your role, organisation and the notes you choose to share with the room.

We collect basic technical information when you visit the site, such as pages viewed and approximate location from your IP address, using privacy-respecting analytics without advertising cookies.

03Why we use it

To read and reply to your request or message. To run membership: inviting you to gatherings, sharing Ideas and notes, and maintaining a small members directory that only members can see. To understand which Ideas are read, so we publish better ones.

Our lawful bases are your consent (when you request an invite or agree to hear about new Ideas), our contract with you (membership), and our legitimate interest in running and improving the club.

04What we will not do

We do not sell your data, share it with advertisers, or add you to a daily newsletter. We email you about your request and about new Ideas, and you can stop that with one click at any time.

05Who else sees it

A small number of service providers help us run the club: email delivery, form handling, hosting and analytics. They process data only on our instructions and under contract. Some are based outside the UK; where that is the case we rely on the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

06How long we keep it

Invite requests we do not take forward are deleted after twelve months. Member details are kept for as long as you are a member and for twelve months afterwards, unless you ask us to remove them sooner. Messages sent through Connect are kept for as long as needed to deal with them.

07Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct or delete it, object to or restrict how we use it, and withdraw consent at any time. Email hello@novaris.club and we will respond within one month.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to put it right first.

08Cookies

We use strictly necessary cookies to remember your preferences on this site and, where you consent, privacy-respecting analytics. We do not use advertising or tracking cookies.

09Changes to this notice

If we change how we handle your data we will update this page and, for anything significant, tell members directly. The date at the top shows the latest version.
